ILL Basics

There are two types of ILL request:

Access PA-Items that are fulfilled through a participating PA library. The vast majority of ILL’s are processed this way. These items are shipped directly to Rachel Kohl from the lending library. They are not connected through Millennium

OCLC-When an item cannot be fulfilled through a PA library, a nationwide request is made through OCLC. These items are processed through DE and arrive at RK via our delivery vans. These are viewable through Millennium.


Requesting an ILL item

When a patron requests an item that cannot be found in the Delaware County system they may fill out an ILL request form. Whenever possible this form should be filled out to the maximum extent and initialed by the supervising staff member.

When this form is filled out satisfactorily drop it into the ILL Requests box on the ILL desk.

Important information for patrons requesting an ILL item to know:

-ILL processing and fulfillment takes an average of 2-3 weeks. If they need the item before then they might be better off purchasing it for themselves.

-All ILL items are processed on Tuesdays.

-Patrons will receive a phone call from the ILL coordinator when their item has been processed and is ready for pick up. They will have one week from processing to pick the item up from the holdshelf.

-Patrons will receive a phone call from the ILL coordinator if their item was unable to be loaned.


Book Arrival

When books arrive in the mail for the ILL Librarian or in the day’s delivery from DE for “RK ILL” place them in the cabinet above the ILL desk on the shelf labeled “ILL Books.”


Circulation procedures for ILL items

Checking out

All ILL items will be checked out to the patron already when they arrive for pick up.*

All lLL items will be waiting on the hold shelf for pick up, like a normal hold.

AccessPA items have a physical notecard with an Access PA barcode paper clipped to the item.

OCLC items do not have a physical barcode (they do have an e-barcode). They also will be checked out already.

*OCLC items are connected in Millennium under the ILL tab. When an OCLC item arrives and is scanned in at DE the item will appear as “Ready for Pickup” in Millennium. The item is not actually ready for pickup until it is processed at RK and the patron receives a phone call from the ILL coordinator. The patron is able to see in their own record that an ILL item is available for pickup. They may call or inquire at the desk about this. If the item is not on the hold shelf and/or they have not received a phone call from the ILL coordinator the item is not actually available yet.

When the patrons pick up their ILL requests please erase the pop up message in Millennium that was manually placed when the books were processed.

Let patrons know that when handing off their ILL items that renewal requests must be made a week before the due date.

If patrons would like a renewal on item please take their name and contact number and leave a message for the ILL Coordinator in the ILL requests bin.


Checking in

When an Access PA item is returned just check in by scanning the barcode and leave it on the ILL Books shelf in the ILL cabinet.

When an OCLC item is returned attach a note with the date it was returned and leave it on the ILL Books shelf in the ILL cabinet.
